Maucker Union Reservation Guidelines


  • All reservations must be made by writing, phoning, electronically submitting, or by visiting the Office of Event Services during normal operating business hours and must be made by a member of the sponsoring group who will be held responsible for the reservation. All reservations are subject to change by the Office of Event Services.
  • Priority reservations are given to major campus and Union sponsored events. All other reservations will be made on a first-come, first-served basis. Reservations may be made up to two-years in advance of the date of the event planned. If a reservation is unable to be made because the Office of Event Services is closed, the reservation may be made the following working day. In the event two or more groups are requesting the same date simultaneously when the Office of Event Services opens for business, a lottery drawing will determine who gets the date requested.
  • All food and beverages served in Maucker Union must be purchased from UNI Catering.
  • Reservations for off-campus groups may be made through the Conference and Visitor Services to coordinate all of the group's special needs (i.e., parking, registration materials, audio/visual needs, food service needs). Reservations specifically for Maucker Union may be made at the Office of Events Services in Maucker Union.
  • Maucker Union is limited in the meeting space it can provide to over 175 student organizations and departmental groups and, therefore, discourages the use of meeting space for academic classes. Special permission must be obtained from the Operations Manager for use by academic classes.
  • To ensure the best service possible, arrangements should be made at least four weeks in advance. Room set-up details must be finalized with the facility no later than ten days prior to the event.
  • All groups will be charged for room use based on the room rate schedule. Prices and fees are subject to change.
  • Individuals or groups using meeting rooms must leave them in a condition comparable to that found at the time of occupancy, otherwise an fee assessment will be charged.
  • Departmental payments for services rendered will be transferred by the Office of Business Operations (Controller's Office), with a copy provided to the client.
  • Room cancellations (particularly those requiring special setup) must be made at least five business days in advance of the scheduled event in order to avoid any incurred changes. Failure to cancel reservation will subject client to a no-show fee.
  • Support equipment (i.e., projectors, TV/VCRs) may be reserved if available through Maucker Union. If additional equipment is needed, it is the responsibility of the requestor to order this equipment for delivery and pick-up and to notify the Reservations Office of these arrangements.
  • All sign posting and room decorations must have prior approval through the Administrative Office.
  • Maucker Union reserves the right, if necessary, to make room changes to better serve the needs of its customers. Considerable care will be given to ensure that comparable space is provided.
